Registration Terms

PAYMENT STRUCTURE

Registration Deposit

A non-refundable registration deposit is required to secure participation and begin processing.

Balance Payments

Remaining balances must be completed by the deadline provided by Mas Africa.

Failure to complete payment may result in cancellation of participation, costume allocation, or invitation support.

VISA & INVITATION LETTER POLICY

Invitation letters and visa support documents will only be issued once:

  • Registration has been completed; and
  • Required full payment has been received.

Important Notice

Once an official invitation letter or visa support document has been issued, all monies paid become strictly non-refundable.

Issuance of an invitation letter does not guarantee visa approval. Visa decisions remain solely at the discretion of the relevant embassy or immigration authority.

Participants remain personally responsible for:

  • Visa applications
  • Immigration compliance
  • Travel insurance
  • Flight bookings
  • Accommodation arrangements unless otherwise agreed in writing

COSTUME & PACKAGE TERMS

  • Costume rentals remain the property of Mas Africa unless otherwise agreed.
  • Participants may be charged for lost, damaged, or unreturned costume items.
  • Package items are non-transferable without written approval.
  • Costume designs, branding, and creative concepts remain the intellectual property of Mas Africa and its creative partners.

SAFEGUARDING & PARENTAL RESPONSIBILITY

(Applicable to the Sunday Family Package)

Parents, guardians, and adult chaperones remain fully responsible for the supervision, welfare, behaviour, medical needs, and safety of all children travelling with them and participating in carnival activities.

Mas Africa and its representatives will provide general coordination and support during participation activities; however, parental responsibility remains with the accompanying adult(s) at all times.

Parents/guardians must:

  • Ensure children comply with parade and safety instructions
  • Provide emergency contact information
  • Disclose relevant medical conditions or allergies
  • Ensure children remain supervised throughout activities and the parade

Mas Africa reserves the right to refuse participation where safeguarding concerns arise.

PARTICIPANT CONDUCT

Participants are expected to:

  • Conduct themselves respectfully
  • Follow parade and safety instructions
  • Respect cultural values and public regulations
  • Comply with event management requirements

Mas Africa reserves the right to remove or refuse participation to individuals whose conduct may:

  • Endanger others
  • Damage the organisation’s reputation
  • Breach event regulations
  • Cause disruption to carnival operations

No refunds shall be issued in such circumstances.

MEDIA, PHOTOGRAPHY & PROMOTIONAL USE

Participants acknowledge that photographs, videos, and media content may be captured during activities for:

  • Promotional purposes
  • Documentary use
  • Cultural archiving
  • Marketing and media publications

By participating, individuals grant Mas Africa permission to use such content unless written notice is provided in advance.

LIABILITY DISCLAIMER

Mas Africa acts as a carnival organiser and cultural facilitator.

Participants acknowledge that carnival participation involves public events, movement, music, crowds, weather conditions, and physical activity.

Mas Africa shall not be held liable for:

  • Personal injury
  • Theft or loss of personal belongings
  • Visa refusal
  • Flight cancellations
  • Immigration decisions
  • Accommodation disputes
  • Circumstances beyond reasonable control

Participants are strongly advised to obtain:

  • Travel insurance
  • Medical insurance
  • Personal belongings cover

CANCELLATION POLICY

By Participant

  • Deposits are non-refundable.
  • Payments become non-refundable once invitation documents are issued.
  • Transfers may only be considered at the discretion of Mas Africa.

Mas Africa reserves the right to make reasonable adjustments to packages, schedules, or participation arrangements where necessary due to:

  • Operational requirements
  • Carnival regulations
  • Safety concerns
  • Force majeure circumstances

Branding & Sponsorship Opportunities

Mas Africa welcomes partnerships with brands, tourism boards, airlines, hotels, fashion and beauty companies, media organisations, and cultural institutions seeking visibility through one of the world’s largest street festivals, Notting Hill Carnival. Branding opportunities may include costume branding, float branding, banners, promotional merchandise, digital campaigns, sponsored hospitality experiences, media collaborations, cultural showcases, and product placement opportunities connected to Mas Africa’s international carnival activities. Partners may also benefit from exposure to diverse international audiences, diaspora communities, tourism networks, creatives, influencers, and global cultural stakeholders. Bespoke sponsorship and partnership packages can be developed to align with the partner’s brand objectives, marketing goals, and audience engagement strategy.
